The Account Representative is responsible for implementing and managing all City View events and all audit compliance of the event deal flow process from initial inquiry sales to signed contract event execution. The position is based in San Francisco, CA.
Sales/ Lease Administration •To execute, meet, and exceed annual sales budget within corporate events as defined by Events Manager. •Act as preliminary point of contact to parties interested in conducting meetings or events at the City View event space as assigned by Events Manager. Respond to facility inquiries, request for information, initial site visits, etc., and follow up with potential clients. •Send out introductory information and coordinate site visits. •Draft of proposals and pricing for Event Manager’s approval. •Explore upsell opportunities with each client. •Budget each event accordingly with events manager. •Work with Events Manager on outbound sales efforts. •Input leads into CRM and manage deal flow from entry to execution. •Responsible for all data management. •Internal and external correspondence as needed. •Creation and distribution of events contracts. •Manage License Agreements within Salesforce •Maintain event calendar •Coordinate legal changes to contracts. •Show and sell the City View space to prospective clients and get them excited about hosting their event in the space. •Maintain relationships with vendors, clients, and contractors. •Identify top clients for future upsell with Events Manager. •Work with Event Manager to maintain event rate sheet. •Create and upload any required amendments and addendums for deals. •Other sales work as assigned by Metreon GM and/or Event + Sales Manager.
Logistics •Coordinate, plan and collect City View event logistics information including: •Floor plans •Production Timelines •Rent payments •Event loading •Coordinate internet/connectivity needs •Work with City View’s preferred vendors to plan and execute event after signed contract. •Coordinate staffing of contractors: venue management, housekeeping, security, engineers and loading dock staff. Manage expenses efficiently. •Assure client compliance of: City View Venue Rules and Regulations, SFFD Rules and Regulations, San Francisco Entertainment Commission, Sound ordinances in Venue, Health department, SF Department of the Environment. •Coordinate permits associated with parking/valet parking. •Site visits, including but not limited to: initial walk, pre-event walk and post-event walk. •Coordination of in-house services including: heaters, lighting, coat-check, WiFi and furnishings. •Event set-up support and supervision. •Alternative work hours as necessary for each event.
Operations •Attend all appropriate center meetings. •Manage Net Facilities projects. •Oversee maintenance and upkeep of venue facility. •Coordinate maintenance of venue including but not limited to: light bulbs, restrooms, terrace cleaning, space upkeep, ice machine. •Venue repairs including wall, carpet and plumbing repairs. •Check-in and check-out of venue. •Implement venue safety procedures. •Contractor management including communication, payments and insurance. •Vendor management including communication, payments and insurance. Maintain an active log of insurance for vendors.
Accounting •Attend all appropriate center meetings. •Processing of agreements/contracts to accounting and Salesforce. •Reconciliation of Billing: •Rent Roll Verification •Re-class Requests •Accounts Receivable - Invoices/Security Deposits. •Miscellaneous Charges/Billings - Add-ons/Fines. •Event amendment for any changes to original contract.
The successful candidate will be a proactive self-starter, in the event industry with a focus on operations. This individual will be a key member of the event team.
•A Bachelor’s degree in a business-related major or equivalent professional knowledge/work experience. •Certifications from CMP, IREM or other professional designations are a plus.
Knowledge, Skills and Abilities:
•Minimum of 2-3 years of experience in the event coordinating field. •Excellent oral and written communications, public speaking and presentation skills •Strong financial acumen and ability to articulate financial implications of decisions as well as collaborate with team members on the impact of those decisions. •Intermediate skills in Microsoft Office suite. Knowledge of Saleforce, Nexus and JDE a plus.
