Summary • Provide Facilities Management services at our Cambridge and Andover, MA locations • Oversee and manage internal and external resources and vendors including any reception teams and external vendors providing services and support to single and multiple sites • Oversee team members or staff from external vendors to ensure efficient and safe management and maintenance of the office environment • Includes supervision of daily operations and key suppliers, management of internal work orders, coordination of colleague moves, adds and changes, budget/PO reporting and special projects as required
General Job Duties • Manage key suppliers – ensure suitable quality and cost are maintained • Interact with Landlord Building Management team where appropriate ensuring IHS’ requirements are met • Budget Management - track and report appropriate elements of Workplace Resources regional budget and OpEx spend; includes invoice review and coding • Purchase requisition submission and tracking • Manage Moves/Adds/Changes - partner with IT and other internal and external colleagues and vendors on all corporate office move activities • Assist w/communication to business leaders • Projects – ability and skills to lead minor projects and MAC activities and assist team in delivering larger projects as needed
Specific Job Duties • Good knowledge of principles and practices relating to Facilities Management of individual and collective sites and offices • Support of single and multiple sites (remote) facilities services • Understand local customer base in order to recommend and deliver "best practices" in facilities operations • Track and manage local OpEx and CapEx spend advising management and leadership team of any cost/spend variances • Assist in developing opportunity to reduce OpEx costs as required • Manage Moves/Adds/Changes for personnel moves • Work with team to ensure a safe, clean, efficient and comfortable working environment • Manage/Plan/Coordinate work for all vendors (including the likes of security, food services, janitorial, coffee, and building infrastructure suppliers) • Track, document, distribute, assign and complete all Workplace Resources work orders per established SLA's. • Perform general management duties, exercising usual authority concerning IHS staff; performance reviews, time reporting and key vendors; contract compliance • Independently identifies and initiate facilities continuous process improvements • Recommend facility-related contracts • Manage Fire Warden and First Aid Program and assist in developing, maintaining and active participate in the Emergency Response Plan/Team • Participate in corporate sustainability efforts for local/regional campus • Assist w/coordination of Colleague events • Support Global Workplace Resources teams as needed
Required Education Bachelor's degree in relevant facilities or corporate real estate field or combination of education and experience
Required Experience • Facilities and Property Management experience • Supervision experience • Project Management skills • Vendor selection and contract management experience • Strategic planning, analytical, and financial and implementation experience • Experience managing online security system (LENEL experience helpful) - • Prior experience facilitating moves/builds-outs preferrred
Other Skills • Proficient in MS Office experience 3+ years (Outlook/Word/Excel/Email/Internet) • Familiar with an online reporting ticket system • Strong Interpersonal skills a must • Must be able to work with limited supervision and perform follow up and completion on assigned tasks • Familiar with fire and electrical codes • Basic understanding of HVAC systems • Knowledgeable of fire suppression systems • Must have a drive to exceed customer expectations • Good communication skills to work with colleagues all levels
