Position purpose: The Facilities Manager oversees all Esperanza Health Center (EHC) Sites, equipment and related contracts. They are responsible for the coordination and oversight of building and program space as well as procuring equipment and related supplies in accordance with EHC policies and procedures. In collaboration with Senior Management they will coordinate and manage emergency preparedness, maintenance, renovation and new construction projects for all EHC sites.

Primary Duties and Responsibilities:
Ensure integrity of the mission and vision of Esperanza. In conjunction with the Board and staff, develops a clear vision for the organization.
1. Purchasing Management
a. Identifies appropriate vendors for services and suppliers of goods. Develop and oversee vendor contracts, and oversee contract performance.
b. Manages purchase orders and invoicing.
c. Develops specifications for outside vendors and contractors that ensure their work is done to acceptable standards at the best cost. Identify preferred vendor or contractor for ongoing contracts and one-time contracts. Work with site contacts to ensure all work orders are completed within established guidelines.
d. Collaborates with quality and compliance staff to ensure environment of care standards are met.
2. Facilities Management
a. Develops processes to ensure all owned and leased sites are in compliance with the lease agreement, city building codes and local, state and federal environmental and safety regulations.
b. Develops and maintains standard operating procedures to ensure all equipment and physical plant infrastructure are routinely monitored and assessed.
c. In collaboration with senior leadership team, designs and manages internal renovations, moves, changes of offices and workstations.
d. Serves as the point person for all facility-related issues and emergencies.
e. Ensures cleanliness and appearance of sites by overseeing janitorial service vendor. Develops and manages written cleaning and maintenance standards and procedures. Develops and monitors preventative maintenance programs for all properties.
f. Leads the facilities preparations for audits and accreditation visits.
g. Basic level maintenance, which includes changing light bulbs, filters, routine painting and touch ups, light plumbing, and some carpentry
h. Manage grounds keeping, such as snow removal and salting, cutting grass and weeding, sweeping, and graffiti removal.
3. Customer Service:
a. Builds and maintains positive working relationships with landlords. Meets with landlords on any ongoing basis and as needed to identify and review outstanding issues.
b. Builds and maintains positive working relationships with vendors of building services.
c. Develops tracking mechanism for execution of requests.
d. Builds and maintains positive working relationships with clinical program managers and staff to ensure smooth communication and rapid execution of facilities-related requests.
4. Emergency Preparedness
a. Manage and document short-term and/or long-term training program.
b. Coordinate with site managers to implement and improve upon emergency readiness.
c. Conduct frequent and regular on-site inspections for environment of care and spot-checks of fire safety and emergency equipment.
d. Responsible for activation and mobilization of resources, ongoing emergency and command operations, communication, logistics, hazard risk assessment, and collaboration with health center leadership
e. Maintain Emergency Management policies, manuals and documentation.
5. Equipment Maintenance
a. Creates and manages a process to inventory equipment at each location and ensure proper functioning of all medical equipment.
b. Develops planned maintenance schedule and monitor the completion of necessary repairs.
6. In collaboration with Senior Management to create and meet budget.
7. Other duties as assigned.
General Job Requirements:
• Excellent Communications and Customer Service skills
• Ability to read, comprehend, interpret and report data in a variety of forms required.
• Ability to speak, read English and Spanish
• Knowledge of local and state regulations regarding Facilities Management
• Experience with multi-site settings highly desired and preferred.
• Knowledge of medical inventory and equipment preferred.
• Prior related work at a medical and/or dental site strongly preferred.
Education: Bachelor’s Degree or equivalent Experience
Experience: 5+ years
