Under the direction of the Associate Director of Engineering and Construction, the Facilities & Construction Coordinator will have duties and responsibilities including, but not limited to, the following:
Coordinate and schedule facility operations throughout campus
Complete administrative tasks as required for the Department of Operations
Notify the community about impactful activities and events
Assist with the scheduling of meetings and provide records of meetings as needed
Execute facilities-related projects and initiatives, such as working through utility disruptions, impactful maintenance and repair activities, and construction activities
Administer and track all vendor contracts for facilities operation in accordance with Harvard University standards
Organize and administer construction project documentation both during projects and upon close-out
Assist with events and activities for the Department of Operations
Enter and track work orders and maintenance requests including Mechanical, Electrical, Plumbing, Carpentry and Painting requests
Maintain a current project tracking sheet and distribute as requested
Update and administer the Department of Operations website, as well as community postings and notifications
Other related duties as assigned
PLEASE NOTE: The preferred schedule for this position is M-F, 7AM-3PM, but there is flexibility (i.e. - 8AM-4PM or 9AM-5PM) if needed.
PLEASE NOTE: This position may require occasional schedule flexibility for off-hour and/or weekend work.

3+ years of related experience required; a combination of education and experience may be considered
Bachelor's Degree preferred
Experience with Microsoft Office Suite and Microsoft Project strongly preferred
Experience with the administration of construction and/or facilities projects preferred
Very strong written, electronic and verbal communication skills; general construction and building system knowledge; experience bringing tasks to completion effectively and communicating status changes to end-users professionally; experience switching between multiple tasks effectively and redirecting efforts as priorities change; experience working well with different and challenging personalities effectively preferred
