The Chief Facilities Operations Manager for Harvard Real Estate (HRE) oversees facilities preventative maintenance, problem-solving, and operating and capital project support for all building systems, including mechanical, electrical, and plumbing operations for HRE's 3.3 million square foot portfolio of properties. Responsibility includes support of a diverse portfolio of properties in Cambridge, Allston, Southborough, Shrewsbury and Kittery, ME. The portfolio includes a 24x7 Campus Center, Hotel, two University Historic Residences, several class A properties, and the President's Office. This position reports to the Managing Director and serves as a key operational resource to all of HRE's Operations leaders and their assigned teams. This position is considered essential and must be available to respond to emergencies on a 24x7 basis.
Responsible for the performance and assists with the administration of all HVAC preventative maintenance contracts used for mechanical equipment specific to cooling, heating, and controls at all HRE properties
Leads the development of contract scopes and supporting the overall process of selecting and engaging contractors for any and all mechanical equipment repairs at all HRE properties.
Actively monitors the HVAC controls for all HRE properties with full command and programming control authority.
Supports the the 3rd party MEP contract maintenance at the Smith Campus Center and any other 3rd party contract maintenance services HRE may employ, including trouble-shooting, quality assurance and project execution.
Develops and monitors best practices for sustainable MEP operations at all HRE properties.
Responsible for the proper completion and assists with the administration of all electrical, plumbing, roofing and envelope system repair and preventative maintenance contracts at all HRE properties.
Develops new and refines existing internal HRE MEP round schedules for the POA's, in collaboration with the Asst. Directors of Operations/Property Managers.
Ensures the HRE portfolio operates within all applicable codes and pursuant to the University standards for temperature.
As part of the HRE management team, strives to ensure the highest caliber of service to all of the HRE occupants and tenants while at the same time using resources efficiently and in consistent with either Commercial or University best practices, as applicable.
Actively monitors utility reports, alarm reports, and the building automation systems to determine and diagnose building system issues.
Works with the Asst. Directors of Operations/Property Managers to manage and monitor the performance of work orders in the Building Engines work order system.
Manages the HRE vehicle fleet.
Generally knowledgeable about specific annual property budgets and the multiyear capital plan and supports all operations team members in developing solutions that are within budget constraints.
Serves as the point person within HRE for ensuring all staff are trained and systems functioning properly following the Siemens Desigo migration.
Supports the Asst. Director for University Space Planning and Systems in configuring technical deployment of security infrastructure.
Assumes additional responsibilities and manage special projects as requested by the Managing Director.
Plays a central role in all building related MEP renewal or renovation projects. Ensures the scope of work for is appropriate and consistent with HRE standards and University best practices. Serves as a primary liaison for MEP contractors throughout the procurement process and project execution.
Reviews tenant fit-out and renovation projects with the HRE property management and leasing teams to ensure code compliance, consistency with HRE standard where applicable, and cost effectiveness.
Actively serves on the project team for all major HRE building renovations. Works closely with the MEP design engineers, project manager, and selected contractors to ensure the best interest of the University, HRE, and the building during the design and execution of all work.
Serves as a reliable resource to the Asst. Directors of Operations/Property Managers in the development of the Repair and Maintenance operating and capital budgets.
Responsible for the development of MEP renewal and renovation financial models for all HRE properties.
Serves as a liaison to vendors and Harvard partners to understand and share information on energy conservation initiatives.
Coaches and mentors the HRE Property Operations Assistants (POA) to ensure strong working knowledge of the various MEP systems and controls throughout the HRE portfolio. Provides training sessions to enrich the POA knowledge on base building systems and controls.
Instrumental in the hiring of new POA's and the coordination of their training as a productive member of the HRE Operations Team.

Basic Requirements: Minimum of 10 years of dynamic building systems operations and capital project experience with a strong working knowledge of a variety of building systems and controls required. Proven history of increasing responsibility with building systems and facility management industry. Must have experience supervising facility operations and MEP contractors. Must have experience working in both new and historic buildings. Must have experience in MEP construction document review and experience serving on project teams for large capital and renewal projects. Able to understand and recommend improvements to graphics in Siemens building automation systems. Self-starter that sets the pace and contributes to positive culture for the team. Willing and able to access resources and information to support projects, problem-solving and knowledge growth.
Must be creative, flexible, highly organized, and able to develop and implement process improvement systems / procedures and communicate them effectively. Strong communication & team-building skills essential. Experience w/ MS Office systems, Siemens Building Automation system, OSHA regulations preferred.
