Rutgers, The State University of New Jersey, is seeking a Business Assistant II for Haskin Shellfish Research Lab. This position directly reports to the Department Administrator Supervisor. The Business Assistant II provides financial, and bookkeeping support to the Haskin Shellfish Research Laboratory and Jacques Cousteau National Estuarine Research Reserve. This position prepares action documents (including but not limited to Submission and reconciliation of Purchase Orders and Requisitions, Internal Purchase Orders (IPO's), Expense Reports, Journal Entries, Travel Orders, RU Cash Receipts) utilizing proper departmental accounts, Faculty accounts, and grant accounts.
Among the key duties of this position are the following:
Works with the Department Administrator Supervisor to ensure that actions have appropriate documentation, justification, backup and approval.
Interacts directly and independently with department personnel to obtain fund sources and details supporting purchases, travel and expense reimbursement requests and other financial actions.
Oversees the proper organization, distribution and filing of account files, financial documents and information/data to create an effective storage and retrieval system for information.
Responsible for reconciling all travel charges made using necessary tools such as internal databases, and University Cornerstone applications (such as Expense Management, RU Marketplace, Financial Management, Tableau, etc.).
Reviews accounts to ensure actions are correctly posted such as: purchases; revenue; cost transfers and other actions.
Works to help ensure compliance with University and School of Environmental and Biological Sciences (SEBS) business practices.
Ensures proper procedures are followed regarding financial controls and handling of funds.
Responsible for maintaining accurate and reliable financial records.
Implements systems as necessary to facilitate reporting on account statuses.
Works under the general supervision, within established work parameters, with few direct instructions.
Carries out routine and non-routine tasks with review of work outputs by Department Administrator Supervisor.
Minimum Education and Experience:
Bachelor's degree in accounting, finance, business administration, or related field; or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of generally accepted accounting principles and practices.
Required Knowledge, Skills, and Abilities:
Ability to work independently, multitask, and effectively prioritize
Excellent interpersonal skills; Ability to deal with difficult situations, stress, multiple and concurrent tasks, in a fast pace environment
Proficiency in MS Office suite, Adobe Acrobat DC and other related computer programs.
Demonstrated willingness to continue learning new things and meet deadlines.
Use of personal vehicle in order to travel for business demands; a valid driver's license would be required for this position.
A minimum of two (2) years relevant experience in a financial/accounting function.
Working knowledge of the Travel and Business Expense Policy, and Procurement and Payment Policies and other University policies and procedures.
Proficiency in Rutgers online systems preferred including PeopleSoft, ROCS, DICES, Sunapsis, and Sakai.
