City and Country School, an independent, non-sectarian day school seeks a full-time Director of Facilities.
THE POSITION AND RESPONSIBILITIES
This is a great opportunity to support the mission of an established and reputable not for profit organization. The Director of Facilities will report to the Director of Finance and Operations (DFO). The individual will work closely with the Buildings and Grounds Manager to direct, coordinate and supervise facilities and maintenance staff. They must exhibit strong leadership and communication skills, manage and balance competing tasks, priorities and deadlines, in addition to completing projects on time and within budget while maintaining the School’s commitment to quality facilities in support of the mission and goals of the School in personal conduct and management of others.
Primary responsibilities for the Director of Facilities position include—but are not limited to—the following:
- Responsible for setting strategies, developing standards, process improvements and overseeing all facilities maintenance operations, including the scheduling and performance of regular preventive maintenance on all building(s) systems, including mechanical, electrical, and plumbing equipment, roofs, finishes, safety and monitoring systems, and other equipment to meet the strategic needs of the School.
- Work with the Buildings and Grounds Manager to oversee the cleaning of the school, as well as facility compliance (fire alarms, sprinklers, etc.) - Arrange for testing of systems as required.
- Oversees and troubleshoots the security cameras/monitoring system and the phone system including the School’s Verizon landlines. Works with the DFO to set the overall strategic direction for the safety and security of the facilities, developing safety/security priorities.
- Organizes schedules and supervises all repair and construction projects, with sensitivity to school seasonality and operational need.
- Ensures compliance with all local, state, and federal regulatory requirements, including work safety regulations (e.g. OSHA, fire drills). Oversees inspections of all building systems as needed for law/code.
- Works with the Director of Finance and Operations to create an annual operating and capital budget and supervises facilities expenditures. Prepares budgeting and capital equipment budget development based upon the School’s competitive procurement goals to be reviewed and approved by the DFO.
- Collaborates with instructional and administrative staff including technology, security, athletics, after-school program, and food service to understand special needs and maintain quality support.
- Liaison with any current and future landlords to ensure that any and all rented spaces are operating effectively and safely.
- Participates constructively in the strategic development of the school including landmark and zoning compliance, utilities services and energy management.
- Leads and collaborates the acquisition of capital budget items from purchase through installation and operation.
- Maintain inventory of furniture, equipment, carpentry and cleaning supplies, and order as needed. Seek out information about alternative vendors as appropriate for improvements in price or quality.
- Review and renew all service contracts and assure that all school equipment is maintained and repaired as needed.
- Work with the Buildings and Grounds Manager to provide facilities support for campus events (e.g. the Harvest Festival, Spring Fair, auction, open houses, etc.)
- Work with the Buildings and Grounds Manager to schedule and supervise all maintenance, cleaning and security staff at the school in a cost effective manner and assures operational procedures and quality of products and services meet current federal, state and local ordinances.
- Review the school calendar and provide coverage as needed.
- Organize a process to coordinate responses to all facility requests. This includes the set-up and break-down necessary to support daily events.
- Maintains current knowledge of industry trends. Participate in the NYSAIS Director of Facilities Group in order to exchange ideas/trends/expertise between NYSAIS schools.
- Performs other duties and special projects as assigned or requested.
PROFESSIONAL REQUIREMENTS
The Director of Facilities must be a team player and leader with the ability to multitask while being attentive to detail. This is a “hands-on position” and a successful candidate must have a working knowledge of building management systems and construction project experience. The candidate should enjoy working with and being around children. In addition, the applicant should have
- College degree (or equivalent) and a minimum of three years of related management experience.
- All necessary certifications associated with the job description.
- Excellent communication, verbal and written skills.
- Comfort using technology including spreadsheet and word processing software.
- The physical ability to manage and oversee small repairs themselves and be able to traverse the existing facility, including existing multi-flight stairs on a regular basis in order to provide the “hands-on” role and responsibilities of this position.
- Excellent organizational skills and the ability to meet deadlines.
- Exceptional problem solving skills.
- Previous work experience with a school is a plus.
