The Preventive Maintenance Supervisor is part of the Facilities, Plant Operations, Building Maintenance Department at Vanderbilt University and is a key individual contributor responsible for overseeing the day-to-day activities of the Preventive Maintenance Team for Facilities Plant Operations.
About the Work Unit:
Plant Operations provides facilities support for all construction, renovation, and routine maintenance of University Central space and facilities; housekeeping services for approximately 5.8 million square feet of academic, administrative, residential, and recreational space; grounds care for 330 acres that are a registered arboretum; turf care for athletic fields; and utilities for the University Central and the Medical Center.
Facilities annual budget exceeds $100 million in operating expenses and includes over 400 employees. Facilities manages major capital project expenditures totaling ~$125 million annually and facility renewal, replacement and large maintenance project expenditures totaling ~$20 million annually.
Duties and Responsibilities
Supervise Day to Day activities for Facilities Plant Operations
Utilize the work management system (AiM) to maintain daily assignments
Responsible for pairing up of technicians based on their skill sets and daily assignment needs.
Daily supervision of PMTs to ensure safe and effective work.
Key management (Sign in/Sign Out verification)
Responsible for tool inventory and audit to ensure tools are in safe, good working order and available when needed.
Submit requests repairs as needed.
Facilitate Preventive Maintenance schedule with stakeholders (Zone Managers, Building Managers, etc.) as necessary
Oracle time management (initial review of Oracle time cards)
Manage initial schedule and manage backlog of missed PM WO(s).
Facilitate discussions with stakeholders to ensure PMs are completed with minimal service interruptions.
Parts ordering and coordination (Verify what parts need to be ordered and when)
Verify needed parts prior to issuance of PM Work Orders
Responsible for keeping parts list up to date in AiM
Ensure compliance with current LIUNA Contract.
Review all WO for completeness and advance status as needed.
Copy phase(s) as needed to assign other shops to support PMT Efforts.
Weekly reports showing progress
Training management (make sure all training is completed as assigned)
Sit in on 1 on 1 employee conversations
Receive Call in/Call out calls via VU issued phone.
High school diploma or GED is necessary.
Universal EPA Certification is necessary.
Valid Driver's License is necessary.
Personnel Supervision is required
Proficient in Microsoft Office products (Excel, Outlook, and Word) is preferred.
Time management and organizational skills are necessary.
Strong written and verbal communication skills are necessary.
Basic understanding of Mechanical, Electrical and Plumbing systems and their respective components is necessary.
