Detailed Job Description The Project Coordinator primarily self-performs and manages projects in Tier 1. May perform or assist with projects in other tiers. These projects are minimal risk and exposure to the university. Includes, but is not limited to, projects such as:
Carpeting, painting, card access/security systems, entrance doors, shelving, and office and classroom refreshes.
Projects are repetitive, routine, and follow prescribed guidelines.
May contract out work and assign, direct, and oversee work of contractors to ensure projects successfully completed.
Accountable for managing the construction process including a budget, contractors, schedule, and construction quality as well as directly performing the construction work.
Solicits estimates from contractors, coordinates and oversees work performed, manages schedules, and delivers high-quality work on time and on budget.
The Project Coordinator demonstrates basic project management organizational, fiscal, customer service, and technical skills with the ability to independently self-perform projects requiring varying technical facilities skills. Through self-performing of projects, the Project Coordinator continues the development of project management expertise and knowledge. The Project Coordinator functions under general supervision to self-perform and carries out projects.
Responsibilities Include:
Performs construction work (repairs, renovations, installs, etc.) of projects being managed.
Meets with project requestors to establish scope; develops scope, established job schedules, priorities, and timeline; manages project milestone schedule, adapting and creating solutions to address issues; reviews and approves contract plans and specifications for compliance with appropriate building codes and project requirements; and conducts pre-construction meetings and reviews contract bidding documents.
Manages project progress which includes ensuring procedures and materials comply with specifications; observes work in progress to assure timeliness; and ensures quality control, acceptable workmanship, and manages site inspections.
Manages project budget; researches and provides cost estimates for manpower, materials, and equipment; receive pay requests from contractors and approves payment.
Works with design professionals, suppliers, and contractors to establish final design parameters; manages relationships with contractors.
Solicits bids and evaluates bids to obtain the best pricing and value. Prepares bid documents to include project scope and schedule, prepares basic job estimates, and completes cost proposals and coordination with requestors. Prepares contract change orders. Works collaboratively with procurement to determine project delivery methods, provide documentation for proposals and bids, ensure the best value for RIT, de-scope contractors, and provide contract administration.
May lead RFPs and requirements for contracting services.
Completes project closeout to include contractor and design professional evaluations, and assuring work is completed to RIT standards and meets requestor's expectations.
Manages construction process using appropriate software.
May serve as a contact for asbestos abatement work. Researches, schedules, and coordinates with certified abatement contractors for proper removal and disposal of ACM. Manages asbestos liabilities by maintaining the database of physical locations, the assessed value for removal, and the amount of asbestos removed throughout the year.
Assures compliance with federal and state regulations governing proper removal and disposal of material.

Department/College Description Project Management jobs are responsible for implementing, organizing, and directing construction and development activities pertaining to existing and proposed buildings and spaces of the university. Duties may include developing project plans for new developments and managing design, construction, schedule, and project budgets. Employees are also responsible for managing contractors and/or service providers and adopting appropriate project controls.
Minimum Qualifications
Associates degree and one year of directly related experience in construction project management, facilities, or other field related.
Customer Service - ability to establish relationships with stakeholders and project requestors. Skill in understanding their program needs or working with them to develop how it relates to physical changes to their area. Excellent verbal and written skills. Ability to collaborate across the university and achieve best outcomes using internal/external resources available.
Fiscal Responsibility - Ability to assist and manage aspects of project/construction from establishing the budget to delivering on budget.
Organization and Drive - Skill in establishing schedules, determining best delivery method, engaging with the appropriate internal/external resources, and developing work scopes and specifications.
Technical - ability to understand the construction/renovation process, conducts walkthroughs, bids work, and provides onsite oversight of work throughout entire construction. Ability to read and understand architectural, mechanical, electrical, plumbing, and systems drawings and specifications. Knowledge of building structures and systems. Ability to use software systems for project management.
