The Facilities Manager is responsible for the day-to-day facilities management of leased and P3 properties occupied by UCSF departments.
Under the direction of the Senior (Sr.) Facilities Manager, individual provides and is accountable for day to day facilities management activities including maintaining landlord tenant relations; physical and financial facilities planning for leased properties; coordination of alterations and repairs and maintenance of HVAC, security, and other building systems; and of janitorial and hazardous materials services; and day to day resolution and coordination of property management and facilities issues in leased sites.
This position provides day to day facilities management for China Basin Buildings, Laurel Heights, 499 Illinois, Sandler Building, Pritzker Building, The Exchange and other locations, as assigned, and will manage minor repairs and construction. The individual is a primary contact for Campus and Health units in assigned sites providing direction and advice for facilities issues. The department is increasing its activities in this area because of the continued expansion into leased facilities. This position is a professional liaison between property owner, occupants, technical experts, and others related to leased property facilities operations.
Work is assigned and reviewed by Sr. Facilities Manager at one-on-one meetings. The Facilities Manager usually works independently with little direct day to day supervision and must manage own workload and set priorities to resolve many ongoing projects at various stages of completion.
The Facilities Manager must maintain a professional demeanor while resolving adversarial issues related to landlord tenant relations, matters of confidentiality and customer service. Must work independently to analyze problems, develop appropriate solutions, analyze financial requirements, ensure compliance with lease agreement obligations, and make recommendations to Sr. Facilities Manager and others including department chairs and senior executives, for appropriate course of action. Must be creative in developing options for problem resolution while complying with contract provisions, UC policies and union agreements.
The Facilities Manager must respond to phone calls/messages, memos and notices from tenants and landlords and successfully research, analyze and resolve conflicts concerning responsibility for repairs, maintenance, and costs in leased facilities. The individual must coordinate contractors, collect information on various options, request pricing and make specific recommendations for problem clarification and resolution. Establishes and maintains relationships with landlord, vendors, and tenant contracts.
The Facilities Manager coordinates vendors' activities with Property Managers in leased facilities. Responsible for ensuring proper locks, keys, director listings, and signs are ordered. Facilities Manager selects vendors and acquires services for maintenance, repairs, and improvement projects such as painting, carpeting, outlet installation, plumbing electrical, and HVAC repairs, etc. Oversees and coordinates work as required.
The Facilities Manager also maintains and updates operating costs for facilities and runs reports and projections as needed.
